Weekly Announcements for Week of 2/5-2/11

Practice Schedule
RHS Practice Groups
Group 1: Tuesday and Thursday 6:00-7:30 PM
G1 Elite: Monday 5:00-7:30 PM
Group 2: Monday, Tuesday, Wednesday, Thursday 5:00-7:30 PM, and Friday 5:00-6:30

NPHS Practice Groups
Group 1 Tuesday and Thursday 6:00-7:30 PM CST
Group 2 No practice due to Middle School swim season beginning-Next practice tentatively scheduled for Monday April 10th

Practice notes: ALL NP swimmers are welcome to attend any practice at Riley that works into their schedule.  NP Group 2 swimmers are still permitted to attend any of the practices at RHS. Swimmers attending practice on Friday are reminded to bring dry-land clothes including running shoes.

Billing Issues
This month we had over 20 accounts where the credit cards failed to process, roughly 20% of all of active accounts.  For a small budget business like ours this presents us with some considerable problems.  Typically the issue is an expired card or you had a compromised card and you forgot to update your swim club account with the new information.  If your account was one of those who had an issue please update your card and use the OnDemand payment feature.  If you are unsure of how to use this feature email me that you have updated your card and I can process the payment on my end.  I will start contacting families on Wednesday that still have an outstanding balance.

I received several emails last week with questions about charges on their club accounts.  If you every have questions please let me know and I will respond as soon as I possibly can.  The majority of questions were about charges outside of the training fees.  I will do my best to explain.

1. Meet entry fees-All meets have entry fees.  Some a little more, some like the ones we host a little less.  Our policy is if you do not opt of a meet your swimmer will be entered.  The deadlines to opt are included in each weekly email. I also send at least one email after the deadline to all families who did not commit or decline giving them another chance to opt out.

2. Family technology fee-This is a $5 monthly charge for each family.  This money allows us to offset the costs of our incredibly useful and functional website.  It also allows us not to charge any credit card processing fees.  Our billing system does allow us to set up recurring charges for the monthly training fees (per swimmer) but not for the tech fees (per family account).  These charges have to be manually entered.  Since they are done by hand sometimes an account or two will be missed.  Since those are my mistakes I live with them.  But, it is a monthly charge on top of the training fees and should be expected.

3. Hospitality room/concession stand-Since we are choosing to host meets we are obligated to provide both of these services.  The initial outlay of expenses is a considerable. After hosting meets over the last few years it became clear we could not get the items we need donated and were left scrambling.   So I decided last fall these costs would be spread across the our entire membership.

NCISC Meet 2-11
Here are the pertinent times for this Saturday's meet:

AM Session-all 10 and under swimmers
Warm-ups: 9:00-9:30 for 9-10 year olds (our swimmers should be on deck by 8:45)
Warm-ups: 9:30-9:50 for 8 year olds (our swimmers should be on deck by 9:00)
Meet starts: 10:00

PM Session-all 11 and over swimmers
Warm-ups 12:30-1:20 (our swimmers should be on deck by 12:15)
Meet starts 1:30

We still need several more volunteers.  As of this morning we only have 10 families that have volunteered.  We will not be able to host meets if we can not staff it with workers.  For the two meets we host our swimmers can swim up to 3 individual swims plus two relays and it only costs $9!  This is an incredible bargain in comparison to any other meet we attend.  Please allow us to continue to offer this to our swimmers by volunteering.  You can can volunteer for the meet by clicking here.  This is a great opportunity for our club to showcase ourselves but we will need everyone's help to put on a great meet.  Please volunteer!!

CON Last Chance Meet 2/24-26
Our entry was sent last week.  We may still be able to make corrections/additions/deletions to the entry.  If you notice any errors or would now like to opt out please send me an email no later then tomorrow (Monday 2-6) 8:00 PM EST.

End of Fall/Winter Season
Our winter season will come to a close during March.  Here are the dates for the last practice for each of our practice groups.
RHS G1 Elite Monday March 13th
RHS Group 1 Thursday March 16th
RHS Group 2 Thursday March 16th
RHS Group 3 March 29th or 30th
NPHS Group 1 March 15th or 16th
NPHS Group 2-February 2nd

Any Group 2 swimmer that would like continue swimming after the 16th is welcome to attend the Group 3 practices

NP Group 2 Swimmers
This is the first week of NP middle school swimming and we will not be offering practices for Group 2 at NP. The NP Group 2 swimmers will still be on our active roster and be eligible to swim in any of our remaining meets.  We are allowing any of these swimmers to still attend the Group 2 practices at Riley.   Also, any time done during a middle school meet can be used to qualify for Divisionals or Age Group State.

Spring and Summer Season
Our spring and summer season will start on Monday April 10th.  The registration for the spring/summer will be for new swimmers or former SBSC swimmers not currently registered for the fall/winter season.  All current swimmers will be moved over to our spring roster and their billing status will remain the same. (Annual payers-no change, monthly payers-will continue to be billed monthly, seasonal payers-billed April 1st for the spring/summer season).  If you do not plan to swim with club this spring or summer please email me prior to March 26th to avoid being charged for the April billing cycle.

Advertising Credit
Selling a one year ad on our website could earn you anywhere from $50 to almost $500. Here is the link for more information.

Another easy way to earn credit for your swim club account is to hang our recruiting posters out in the public. For every poster you hang you will receive a $5 credit up to $25. Once you hang the poster post a pic of it on your Facebook page (or other social site) and tag the club.

Upcoming Meet & Dates/location/deadline to opt out

As a reminder all swimmers are considered swimming in a meet unless the parent declines attending. I'm also asking if you know your swimmer will be attending please commit them to the meet. If the option to choose days is not yet available please leave a note as to which days you would like to attend.

Divisional Championship Friday-Sunday 3-3,4,&5/ Northridge High School /2-19
Age Group State Friday-Sunday 3-10,11,&12/ IUPUI /2-26
Senior State Friday-Sunday 3-17,18,&19/ Pike High School /3-5
