Parent Workshop Tuesday November 1st 6:00
I have attached the flyer that Ava handed out at our Swim-A-Thon to the parents that were in attendance.  This is an opportunity for parents to learn more of their important role in making their child's swimming career as rewarding as possible.  The meeting will be held in one of the classrooms across the hall from the pool locker rooms.  The meeting will last about 60 minutes with plenty of time to answer any questions you might have.

Meet Deadlines
I had a question from a parent in an email this week that I thought I should share because I felt several of you could be wondering the same.  The question was, "Why do we need to commit or opt of meets so far in advance of the meet dates?" I think this is a very reasonable question.  I will do my best to try to explain.  Swim clubs across the country host swim meets for a variety of reasons.  One of the most important reasons, while never advertised as such, is to raise money for the club.  The host club typically sets a window of dates when they will accept entries ranging anywhere from one day to several weeks.  Teams with the shorter time frames have a history of filling their meets and are not too concerned.  Teams who have a larger window are trying to ensure they fill their meets.  Our club would typically wait until the end of those longer windows to allow more time for our families to make a decision about attending.  We changed our policy about two years ago when we waited and were shut out of a meet because it was already full.  I even tried to talk our way back into the meet by calling/pleading with their head coach, one of my former swimmers.  He informed me his meet literally filled within the first hour his entry period was open.  So from that point forward we changed our policy to have our entry file to the meet host the minute they start accepting entries. Sometimes this means I am sending our entry out at 12:00 AM just to ensure we are among the first entries received.  The deadline I set for our families is typically about a week ahead of the host club's.  This allows me time to chase down those who did not commit either way, check with our coaches about event readiness, and time to put together our entry.  I know it does present some challenges for family scheduling but the alternative could be we loose a meet weekend.

IA Meet January 6th-8th

I have attached the meet letter for this upcoming meet.  This is a pre-lim/final meetfor swimmers 11 and over and a timed final meet for swimmers 10 and under.  If you are available for this meet I strongly encourage you to attend. The deadline for opting out of this meet is tonight, October 30th.

I mentioned in last week's email that all Group 3 swimmers would need to commit to future meets and they would no longer be automatically entered.  This is still the case for those swimmers not attending Riley High School.  All the Group 3 RHS swimmers have been entered into the meet (unless they have already opted out). I plan to use this meet as part of our training process for RHS.  If you do not want your swimmer in the meet please email me and I will remove them.  Again, all Group 3 swimmers who attend Riley High School have been entered into the meet unless I hear differently from the parents.

NASA Sprint Meet Plus
The times from the morning session will be 30 minutes later then originally posted in the meet letter. Here are the new pertinent times for this weekend's meet:

Saturday and Sunday AM sessions-all 10 and under swimmers
Warm-ups 7:30-8:20 (our swimmers need to be on deck by 7:15)
Meet Starts 8:35

Saturday and Sunday PM sessions-all 11 and over swimmers
Warm-ups for 13 and over 12:00-12:30 (our swimmers need to be on deck by 11:45)
Warm-ups for 11 and 12 12:30-1:00 (our swimmers need to be on deck by 12:15)
Meet starts 1:15

Here is a map to the pool.  I have also attached our entry.  Parents, it would help a great deal if you could write your swimmer's events and numbers on their hands or wrists prior to arriving at the pool.  You can also log on to our site to get your swimmers events or you can use the OnDeck parent app.  The password for the app is the same as you use for the website and our team alias is insbsc.  Make sure to go to the menu page and press the sync icon.  All the data on the app comes directly from the website and needs to be refreshed on a regular basis.

T-shirt's
I have attached a word document of our second T-shirt that I will be placing first thing tomorrow morning.  If you would like to be added to the order please email me with the sizes you would like with the word T-shirt in the subject line.  Also on the list are all the swimmers who joined the team after our first order on October 3rd.  If your swimmer joined the team prior to the 3rd and did not receive a shirt please let me know so I can be sure to add them to this order.

Riverfront Parks and Trails 2nd Community Forum
We have been asked to share with our membership and upcoming opportunity to discuss the city's plans for our river front.  The meeting is being held at the Century Center on Wednesday November 2nd at 5:30.  Here is link to their website.

I sent out three reminders for declining meets on Friday.  I've since received more information from the DUNE Swim Club.  We will be able to postpone our deadline for their meet until November 13th.

The dates to opt out are tentative for some of these meets and will most likely change when the meet information becomes available. As a reminder all swimmers are considered swimming in a meet unless the parent declines attending. I'm also asking if you know your swimmer will be attending please commit them to the meet. If the option to choose days is not yet available please leave a note as to which days you would like to attend

Meet Entries

This week is the first official week of girls high school swimming and the boys will start in two weeks. Moving forward all Group 3 swimmers will not be automatically entered in meets.  If you want your Group 3 swimmer to attend a meet you will need to commit them.  We would like all of our high school swimmers to compete at the January IA meet. That deadline is approaching so if your swimmer can make this meet please commit them.

T-shirt's
If you did not pick up your shirt on Saturday have your swimmer pick it up from me or another coach at practice this week.  Parents if you missed the first order for shirts (or if I missed your order) you can still get one.  I will be placing the order on Monday the 31st.  If you would like to order please email me the sizes you would like with the word T-shirt in the subject line.   We placed our original order on October 3rd.  If your swimmer joined after that time they will receive their T-shirt with the upcoming order.  I will bring the shirts for the NP swimmers and parents who were registered with club

Dual Meet Vs. CON Swim Club 

Congratulations to Sammy Sierra who set three new team records last last Saturday.  His new marks are in the 50 back (30.50), 50 fly (27.63), and 100 IM (1:06.89).  You can click here to see our new all time Top Ten, the updated SCY qualifiers page, and here to see all of our meet results.

Swim-A-Thon Saturday October 22nd 

Thank you! Thank you! Thank you to all the parents who came out and helped count laps, to all the families who were able to find time to help raise funds, and to all the swimmers for making the South Bend Swim Club such a great place and worthy cause!  We surpassed our goal by over $2000!!  

We officially end this year's Swim-A-Thon on the 29th.  If there are any swimmers who still need to turn in money please do so by the end of the week.

SWAC Meet November 19th-21st
The deadline to commit to this meet is this Thursday.  Remember since this meet was just added to our schedule we will be doing entries a little differently.  Swimmers will not be automatically entered in the meet.  If you want your swimmer to attend you must commit them.  We will need a minimum of 8 swimmers to sign up before we send an entry.

NCISC Meet
Congratulations to our two new team record holders.  Sammy Sierra set a new record in the 11-12 boys 100 IM with a time of 1:07.54.  Bryce Knight set a new record in the 13-14 boys 50 Butterfly with a time of 26.26.  You can check all the team records by clicking here.  Our All-Time Top 10 can be viewed here and all of our current championship qualifiers here.  You can click here to see our results and improvements.  

Meet Entries

Our policy for meet entries is to assume all swimmers who do not decline attendance will be competing.  Meaning if a swimmer is undeclared they will still be entered in the meet.  If you know your swimmer is planning on competing please click the "Edit Commitment" button and choose "Yes".  The process I use for doing meet entries is to do all the entries of the committed swimmers then create relay teams from those swimmers.  The reason I choose to do the relays before moving over the non-committed swimmers is the probability of the committed swimmers being at the meet is relatively high.  Trying to change relays at the meet because someone fails to show up presents a challenge in what at times is a slightly chaotic environment.    

T-shirt Order
I will picking up our team shirts sometime this week and will have them ready to hand out at our Swim-A-Thon on Saturday.

We have had a couple of parents ask about more shirts and we have had some new swimmers join since the last order so we will be placing a 2nd order on October 31st.  If you are interested please send me an email with the word T-shirt in the subject box with the sizes and numbers you want

October Tech Fee
Our billing system is limited in it's ability to automatically charge accounts.  While it has the ability to charge each family the the monthly training fees it does not allow us to set-up other recurring fees per family account.  For us to be able to receive payment on the first of the month for any other charges outside the training fees those charges have to manually placed on your account by the last day of the month. I missed that deadline with the October Family Tech Fee.  So you will see two charges on your account this month one for October and one for November.

Dual Meet Vs. CON Swim Club 

Congratulations to everyone who swam yesterday.  We had some outstanding swims, new best times, and some great displays of teammates supporting and cheering for each other. I anticipate I will receive the final results sometime today or tomorrow and will update our site as soon as I do. 

I also wanted to publicly commend our Group 3 swimmers.  One of the CON parents who organized the breakfast for our high school kids passed along some very high praise of our swimmers.  She said that doing the breakfast for our club was always enjoyable because of how polite, respectful, and appreciative our swimmers always are.  Good manners never go out of style.  Thank you for representing our club with such class.

Swim-A-Thon Saturday October 22nd 

We are now more then half way to our goal heading into the last week.  Typically the last week is our best week for raising funds.  Even if you have not started it is not too late to start.  As simply as putting a link to the Swim-A-Thon on your Facebook page may generate some additional giving.  We will also be in need of parents to help count laps.  We will have coffee and donuts available for parents willing to give up a couple more hours of their Saturday.

If you have received any donations of checks or cash please bring them Saturday so they are credited to your swimmers account.

We would like all of our swimmers to be on deck by 7:45.  We will get in the water approximately 8:00 and and be done 2 hours later.  

Notre Dame Butterfly Camp
I received the following in an email on Friday:

Join the University of Notre Dame and Head Coach Mike Litzinger for an exciting 2-day butterfly clinic on December 10-11.  A coach of 4 US National Team butter-fliers, Coach Litzinger and his staff will focus on butterfly technique through the implementation of drills, equipment, and video. Please forward this on to your swimmers families and coaches.

New Prairie Satellite
Once we are up and running this month I will have another parent meeting at NP.  It will most likely be on a Tuesday.  As soon as Ashley and I can work out the details I will let you know.

Intra-Squad Meet 

I can not express how grateful I am to all the parents who volunteered their time and helped run one of our most efficient intra-squad meets yet.  I was able to walk out of the building by 8:30. That means we conducted meet warm-ups, ran 64 heats of racing, fed 200+ people, and cleaned up the cafeteria all in under 3 hours!  Great job team!!  One thing I also wanted to thank our parents for was their communication.  Out or our 115+ swimmers on the team there was only one swimmer on the team that we did not know where they were.  This is with out doubt the best we have ever had at an intra-squad meet.
 
NCISC Fall Sprint Meet

Our efficiency was not as apparent yesterday.  Full disclosure, the delay at the start can be placed at my feet.  I made a mistake in the meet set-up that caused more then a little confusion.  Punctuality is important to me. For one I believe it conveys respect for others and their time.  Please accept my apologies.  But a huge shout out and thanks to Amy Szakaly and Darci Maurer for their work coordinating our concession stand and hospitality room.  Amy kept the masses from rioting with a steady supply of coffee upstairs.  And if the other club's coaches were upset they would not have been able say too much because it gave them more time to enjoy Darci's expertise in the hospitality room!  Once we got going things seemed to run smoothly and after about half way through the meet the scoreboard even started to work.

One thing we will be making an adjustment on is how we will be setting up hospitality/concession for any meets moving forward.  It seems we had several items donated that were not on the list, or multiples of items that were, or items brought in on Saturday after we had purchased them.  For all future meets we will be assessing another $10 to each swimmer attending.  Before anyone gets too alarmed by this I want to make a few points.  Most meets cost anywhere from $4 and up per event swam, plus another $2 for relays, plus the Indiana Swimming surcharge of $2.  So if this were a typical meet your swimmer could have been charged up to $18 yesterday.  Your accounts will all be charged $7 for yesterday's meets ($4 for the meet, $2 for IN Swimming, and $1 for our meet surcharge).  We host 2 meets a year so this will add another $20 for each swimmer to your swimming budget.  I understand that any extra money can be a strain but if you ask parents of other local clubs what they have to do pay to cover hospitality I think you find we are still a bargain.

Dual Meet Vs. CON Swim Club 

I received the information for the meet last week after I sent our weekly email.  The times this year are a little different from what I published.  Here are the pertinent times:
Group 3 combined warm-up with CON: 8:00-9:15 (our swimmers should be on deck no later then 7:50)
Group 3 breakfast 9:15-10:00
Group 1 and Group 2 warm-up 9:20-9:50(our swimmers should be on deck by 9:05)
Meet Starts at 10:00

We are still anticipating about a 3 hour meet and after we will have a team lunch at BW3 near the high school.  Families will be responsible for their own meals.  The deadline to opt out of this meet is tonight.  I will be doing the entries later in the week and will have them done prior to practice starting on Thursday.

We will also need 16 timers to help with the meet.  To date we only have two families signed up.  You can click here to get to our job sign up portion of the meet.  

Swim-A-Thon Saturday October 22nd 

We have had a great week of fund-raising bringing in an additional $1800. We are more then half way to our goal with less then two weeks to go. We now have 35 members of our team contribute, that is less then a third. This is a super easy fundraiser to be involved in but it does take swimmers making some effort. Everyone will benefit from the funds raised so it is imperative everyone contributes. You can click here to see the page on our website . There is also a banner that will run across the top of our page for the remainder of our fundraiser. If you are logged in to our site clicking on the banner will take you to your swimmers fund-raising page. Hopefully everyone has received the emails explaining how to set up your swimmers Swim-A-Thon account. 
Here are the three goals for this year's Swim-A-Thon funds: 
1. Reward our assistant coaches with higher wages 
2. Continue moving forward marketing our club 
3. Maintain our working relationship with a sports psychology professional

Weekly Announcements for Week of 10/2-10/8

Dear SBSC families,


Practice Schedule
Group 1: Thursday 6:00-7:15 RHS
G1 Elite: Monday 5:30-7:30 RHS
Group 2: Monday, Wednesday, Thursday 5:30-7:15, and Friday 5:00-6:30 RHS
Group 3: Monday, Wednesday, Thursday 3:30-6:00, and Friday 3:30-5:00 RHS

Practice notes: No practice on Tuesday due to the intra-squad meet.  Group 1 practices for the month of October will last until 7:15. A reminder to all Group 2 swimmers to bring dry-land shoes and clothes to Friday's practice.  It appears the seating gallery will be ready for parents on Monday.  As of Friday afternoon all the carpet was laid and it seemed only clean-up remained.

New Prairie Satellite

Due to an issue with the water clarity/chemistry we will not be starting practice this week at New Prairie.  Our hope is to be up and running on the 10th.  This is certainly not the way we had envisioned things would go.  Construction and remodeling deadlines seem to be precarious at best.  Couple that with the trouble of balancing the initial pool water and a delay was almost guaranteed.  We tried to anticipate by setting our start date a couple of weeks later the proposed completion date but even the best laid plans sometimes go awry.  I apologize for delay but I want to assure everyone that SBSC is committed to making our program work for the NP community. 

Intra-Squad Meet Tuesday October 4th

The deadline for opting out of this meet is tomorrow Monday October 3rd.  There is no cost for swimmers to compete in this meet.  All swimmers should be on deck by 5:30 Swimmers will receive their team cap at this meet.  The meet will start at 6:00 and last 60-75 minutes.  After the meet we will have a team pizza party in cafeteria.  The club will provide the pizza and the drinks.  We are asking all families to bring a favorite dish.  Families with the last name beginning with A- M bring your favorite side dish and families N-Z bring your favorite dessert.  

Thank you to all of the parents that have signed up to help. We still need a few volunteers to help with serving the food and with clean-up afterwards.  We are responsible for any mess we make including trash removal.  Here is the link to the job sign-ups for this meet. Special note:  For any of you that are bringing a dessert please do not bring brownies.  This is not because I am some sort of over the top nutrition nut it simply because cleaning up brownies dropped on the floor then trampled by 100+ swimmers is next to impossible.

NCISC Fall Sprint Meet Saturday October 8th

This is a meet we have hosted for the last few seasons.  We are responsible for hospitality for the coaches and for the concession stand.  We will be asking for donations for both.  I have attached a list of donations needed for both.  Last week I asked that all non-perishable items be turned in by Thursday.  It would make things much easier on our lead volunteers, Darci Maurer-hospitality & Amy Szakaly-concession stand if those could be turned in on Tuesday at our intra-squad meet.  If donations are not received the club will need to purchase these items. If you are able to donate please contact Amy through email at aszakaly@sbcsc.k12.in.us and Darci through text message at 574-993-8527.  This way we will eliminate any duplicate items.

We will also need help in running both areas along with some other jobs.  Here is the link to jobs sign-up for this meet.  The deadline to opt out of this meet is tonight Sunday October 2nd.  Swimmers are eligible to swim 3 individual events and up to 2 relays.  The cost of this meet for each athlete will be $7 total.

Dual Meet Vs. CON Swim Club

I have not received the official information yet for this meet.  I assume it will follow a similar format as previous seasons.  Our Group 3 swimmers will have a combined practice with the CON high school swimmers.  The high school swimmers will have a breakfast together provided by the CON parents.  During that time the rest of the team will warm-up and the meet will start approximately 9:45, again this is not official but based on previous seasons.  The meet will take around 3 hours to complete.  After the meet we have a team lunch at the BW3 located just a few minutes from Concord High School.  Each family will be responsible for their own meals.  The deadline to opt out of this meet is Sunday October 9th.

Thank you to the families who have already started raising funds!  As of this morning we have raised over $2100!  We currently have 112 registered swimmers but only 24 have raised any money. This needs to be a team effort.  Everyone will benefit from the funds raised so it is imperative everyone contributes.  You can click here to see the page on our website.  There is also a banner that will run across the top of our page for the remainder of our fundraiser.  If you are logged in to our site clicking on the banner will take you to your swimmers fund-raising page. Hopefully everyone has received the emails explaining how to set up your swimmers Swim-A-Thon account.  

Here are the three goals for this year's Swim-A-Thon funds: 
1. Reward our assistant coaches with higher wages 
2. Continue moving forward marketing our club 
3. Maintain our working relationship with a sports psychology professional

Operator Error

I made a couple of mistakes when I set up the meets this fall.  The first involves the NCISC meet.  As I mentioned in the parent meeting it is our club's philosophy that it is the coaches responsibility/prerogative to choose events  Our website automatically defaults to allow parents to choose swimmer's events. I forgot to check the box that hides the event selection.  Some parents selected the events for their swimmers.  I will make the final selections for our swimmers after our intra-squad meet.  I will do my best to honor requests but only after discussion with our staff if those events are the most appropriate.

My other mistake involved the IA meet in January and the NCISC championship meet in February.  When setting up meets each season there is a "clone" option for meets we attend annually.  Somewhere in the process of "cloning" I imported all the swimmers who committed/declined last year.  Those swimmers were mixed in with the swimmers who made the choice to attend/not attend for this season.  Unfortunately I wasn't able to find a way to eliminate the declarations from last year and had to create an entirely new meet.  Because it is a new meet anyone that has committed or declined for this meet this season will have to go back and do it again.  I apologize for the inconvenience.

Picking Up Swimmers

During registration you were required to digitally sign different documents.  One of those, The Terms and Conditions document included expectations for picking up swimmers.  Swimmers are to be picked up no later then 15 minutes after the conclusion of the posted practice time.  Repeat offenders are subject to fines.  We will never hold swimmers longer then the length of the published practice time.  This is a policy we determined long ago to show that our coaching staff respects the time of parents and families.  We ask that you respect our time as well.  I also realize mistakes can happen and a text, phone call, and/or sincere apology can go a long way.  Absent of those common courtesies you can expect to see a fine on your invoice.

Advertising Credit
Another item of discussion during the parent meeting was opportunity to earn some credit on your swim club accounts.  The easiest way we can do that is to get our recruiting posters out in the public.  For every poster you hang you will receive a $5 credit up to $25.  Once you hang the poster post a pic of it on your Facebook page (or other social site) and tag the club.  For every poster after the 5th one you will have your name entered in a drawing for a Visa gift card to be held on December 1st .

The other way is by advertising through our website.  Whatever money you are able to bring in you will receive a 50% commission. Selling a one year ad could earn you anywhere from $50 to almost $500. Here is the link for more information.

Missing Paperwork
If you have not done so already please fill out the attached USA Swimming Registration form.  Indiana Swimming requires us to have a paper copy on file for every swimmer every year.  Also, if you answered yes to the question about your swimmer being eligible for the free/reduced lunch program at their school I need a document produced by their school stating their eligibility.  

Also, I forgot to mention at the parents meeting the requirement of birth certificates.  If a swimmer does not have a birth certificate on file with Indiana Swimming and competes in a meet they will be assessed a fine.  The best way to get me a copy of their birth certificate is to scan it into your computer then email me.  This way if in the future there is a fine assessed you can show the mistakes was ours and not yours and the club will pay any fines.

The dates to opt out are tentative for most of these meets and will most likely change when the meet information becomes available.  As a reminder all swimmers are considered swimming in a meet unless the parent declines attending.  I'm also asking if you know your swimmer will be attending please commit them to the meet.  If the option to choose days is not yet available please leave a note as to which days you would like to attend
