Weekly Announcements for Week of 10/2-10/8

Dear SBSC families,


Practice Schedule
Group 1: Thursday 6:00-7:15 RHS
G1 Elite: Monday 5:30-7:30 RHS
Group 2: Monday, Wednesday, Thursday 5:30-7:15, and Friday 5:00-6:30 RHS

Practice notes: No practice on Tuesday due to the intra-squad meet.  Group 1 practices for the month of October will last until 7:15. A reminder to all Group 2 swimmers to bring dry-land shoes and clothes to Friday's practice.  It appears the seating gallery will be ready for parents on Monday.  As of Friday afternoon all the carpet was laid and it seemed only clean-up remained.

New Prairie Satellite

Due to an issue with the water clarity/chemistry we will not be starting practice this week at New Prairie.  Our hope is to be up and running on the 10th.  This is certainly not the way we had envisioned things would go.  Construction and remodeling deadlines seem to be precarious at best.  Couple that with the trouble of balancing the initial pool water and a delay was almost guaranteed.  We tried to anticipate by setting our start date a couple of weeks later the proposed completion date but even the best laid plans sometimes go awry.  I apologize for delay but I want to assure everyone that SBSC is committed to making our program work for the NP community. 

Intra-Squad Meet Tuesday October 4th

The deadline for opting out of this meet is tomorrow Monday October 3rd.  There is no cost for swimmers to compete in this meet.  All swimmers should be on deck by 5:30 Swimmers will receive their team cap at this meet.  The meet will start at 6:00 and last 60-75 minutes.  After the meet we will have a team pizza party in cafeteria.  The club will provide the pizza and the drinks.  We are asking all families to bring a favorite dish.  Families with the last name beginning with A- M bring your favorite side dish and families N-Z bring your favorite dessert.  

Thank you to all of the parents that have signed up to help. We still need a few volunteers to help with serving the food and with clean-up afterwards.  We are responsible for any mess we make including trash removal.  Here is the link to the job sign-ups for this meet. Special note:  For any of you that are bringing a dessert please do not bring brownies.  This is not because I am some sort of over the top nutrition nut it simply because cleaning up brownies dropped on the floor then trampled by 100+ swimmers is next to impossible.

NCISC Fall Sprint Meet Saturday October 8th

This is a meet we have hosted for the last few seasons.  We are responsible for hospitality for the coaches and for the concession stand.  We will be asking for donations for both.  I have attached a list of donations needed for both.  Last week I asked that all non-perishable items be turned in by Thursday.  It would make things much easier on our lead volunteers, Darci Maurer-hospitality & Amy Szakaly-concession stand if those could be turned in on Tuesday at our intra-squad meet.  If donations are not received the club will need to purchase these items. If you are able to donate please contact Amy through email at aszakaly@sbcsc.k12.in.us and Darci through text message at 574-993-8527.  This way we will eliminate any duplicate items.

We will also need help in running both areas along with some other jobs.  Here is the link to jobs sign-up for this meet.  The deadline to opt out of this meet is tonight Sunday October 2nd.  Swimmers are eligible to swim 3 individual events and up to 2 relays.  The cost of this meet for each athlete will be $7 total.

Dual Meet Vs. CON Swim Club

I have not received the official information yet for this meet.  I assume it will follow a similar format as previous seasons.  Our Group 3 swimmers will have a combined practice with the CON high school swimmers.  The high school swimmers will have a breakfast together provided by the CON parents.  During that time the rest of the team will warm-up and the meet will start approximately 9:45, again this is not official but based on previous seasons.  The meet will take around 3 hours to complete.  After the meet we have a team lunch at the BW3 located just a few minutes from Concord High School.  Each family will be responsible for their own meals.  The deadline to opt out of this meet is Sunday October 9th.

Thank you to the families who have already started raising funds!  As of this morning we have raised over $2100!  We currently have 112 registered swimmers but only 24 have raised any money. This needs to be a team effort.  Everyone will benefit from the funds raised so it is imperative everyone contributes.  You can click here to see the page on our website.  There is also a banner that will run across the top of our page for the remainder of our fundraiser.  If you are logged in to our site clicking on the banner will take you to your swimmers fund-raising page. Hopefully everyone has received the emails explaining how to set up your swimmers Swim-A-Thon account.

1. Reward our assistant coaches with higher wages 
2. Continue moving forward marketing our club 
3. Maintain our working relationship with a sports psychology professional

Operator Error

I made a couple of mistakes when I set up the meets this fall.  The first involves the NCISC meet.  As I mentioned in the parent meeting it is our club's philosophy that it is the coaches responsibility/prerogative to choose events  Our website automatically defaults to allow parents to choose swimmer's events. I forgot to check the box that hides the event selection.  Some parents selected the events for their swimmers.  I will make the final selections for our swimmers after our intra-squad meet.  I will do my best to honor requests but only after discussion with our staff if those events are the most appropriate.

My other mistake involved the IA meet in January and the NCISC championship meet in February.  When setting up meets each season there is a "clone" option for meets we attend annually.  Somewhere in the process of "cloning" I imported all the swimmers who committed/declined last year.  Those swimmers were mixed in with the swimmers who made the choice to attend/not attend for this season.  Unfortunately I wasn't able to find a way to eliminate the declarations from last year and had to create an entirely new meet.  Because it is a new meet anyone that has committed or declined for this meet this season will have to go back and do it again.  I apologize for the inconvenience.

Team Directory

In next week's email I plan to include a PDF directory of our current membership.  If you would prefer not to have your contact info listed please let me know.

Picking Up Swimmers

During registration you were required to digitally sign different documents.  One of those, The Terms and Conditions document included expectations for picking up swimmers.  Swimmers are to be picked up no later then 15 minutes after the conclusion of the posted practice time.  Repeat offenders are subject to fines.  We will never hold swimmers longer then the length of the published practice time.  This is a policy we determined long ago to show that our coaching staff respects the time of parents and families.  We ask that you respect our time as well.  I also realize mistakes can happen and a text, phone call, and/or sincere apology can go a long way.  Absent of those common courtesies you can expect to see a fine on your invoice.

Advertising Credit
Another item of discussion during the parent meeting was opportunity to earn some credit on your swim club accounts.  The easiest way we can do that is to get our recruiting posters out in the public.  For every poster you hang you will receive a $5 credit up to $25.  Once you hang the poster post a pic of it on your Facebook page (or other social site) and tag the club.  For every poster after the 5th one you will have your name entered in a drawing for a Visa gift card to be held on December 1st .

The other way is by advertising through our website.  Whatever money you are able to bring in you will receive a 50% commission. Selling a one year ad could earn you anywhere from $50 to almost $500. Here is the link for more information.

Missing Paperwork
If you have not done so already please fill out the attached USA Swimming Registration form.  Indiana Swimming requires us to have a paper copy on file for every swimmer every year.  Also, if you answered yes to the question about your swimmer being eligible for the free/reduced lunch program at their school I need a document produced by their school stating their eligibility.  

Also, I forgot to mention at the parents meeting the requirement of birth certificates.  If a swimmer does not have a birth certificate on file with Indiana Swimming and competes in a meet they will be assessed a fine.  The best way to get me a copy of their birth certificate is to scan it into your computer then email me.  This way if in the future there is a fine assessed you can show the mistakes was ours and not yours and the club will pay any fines.

Parent T-shirts
Parents if you are interested in a t-shirt for yourself or other members in your family please send me an email with "T-Shirt" in the subject line and in the message indicate what size or sizes you would like. This is not an order for the swimmers.  This is for any additional shirts you may want. The cost for each shirt is $12, $14 for XXL.  The shirts will be a traditional shirt 50/50 cotton blend.  The deadline for ordering a shirt will be Saturday October 1st.  This order will be placed with the swimmer's shirt order and I hope to have the shirts in time for the CON dual meet.

SBSC Social Sites
During the parent meeting I briefly mentioned some of our social media sites.  We have direct links from our website to our FacebookTwitter, and Instagram pages.  We also have a YouTube channel, a Google+Tumblrand Blogspot.  Since Facebook is the primary social site used by adults we use that site with considerable frequency.  Along with Facebook, Twitter and Instagram are used for posting pics of our club's activities..  Our YouTube channel does not have much content but we are hoping to add more material.  Google+, while some pretty cool features is not used by many but, just in case someone is on that site we keep material on that page as well.  The Tumblr and Blogspot are similar to Google+ and we use those as another way to get our weekly announcements out.

Swim Apps

Ally Krichef during her presentation to our new families spoke about two important apps swim parents should have.  The first is OnDeck Parent.  This app is free and is tied directly to our website/database.  For OnDeck app our team alias is insbsc and your password is the same you have for our website.  The second app is Meet Mobile.  There is a small subscription fee but it is worth every penny when you are at a meet and want to see the results of your swimmer's events.

We are scheduled for to meet in the RHS cafeteria starting at 6:00.  The meeting will last approximately 60 minutes.  The first half of the meeting will be for all families and the last half for all new families.  At least one adult from each family will need to be in attendance

Intra-Squad Meet Date Change
We are going to have to move our date for intra-squad meet due to a conflict with scheduling the cafeteria.  Our intra-squad meet will be held on Tuesday, October 4th.

Outreach Program
If you answered yes to the question about your swimmer being eligible for free/reduced lunch at their school you received a credit at the checkout.  If you have not done so already please provide me with a letter from your swimmer's school stating they are eligible.  If you mistakenly clicked this box or are unable to produce the document your account will be charged back what you were credited

Steve Raymond

On Tuesday night our swimming community lost a dear friend.  Steve passed away after a very short battle with cancer.  Steve worked tirelessly for ours and other surrounding clubs and schools.  He graciously volunteered hours of his time helping run our scorer's table at our club and high school meets.  Steve and I did not always agree but I always knew I could count on him to do whatever he could to help our program.  His absence at the pool will be felt by many.  Our prayers are with his family and friends.  Thanks for everything Steve.  Here is a link to Steve's obituary.

You should have received a system generated email that confirmed your registration to the team.  If you did not receive one please email me.  The email also included instructions how to log into your SBSC account.

Parent Meeting Tuesday September 20th

We are tentatively scheduled for to meet in the RHS cafeteria starting at 6:00. The meeting will last approximately 60 minutes. The first half of the meeting will be
for all families and the last for all new families. At least one adult from each family will need to be in attendance

Swim-A-Thon Saturday October 22nd
We will also be hosting our 4th annual Swim-A-Thon on Saturday October 22nd.  One of the things I take pride in our club is that we are able to provide a quality program at very little cost to our members.  In fact our training fees have remained the same as they were when we started in 2006.  The downside to our reasonable fees is that our coaches have not received a raise in several years.  I would like to use a significant portion of the proceeds raised this season to go directly to increasing our assistant coaches wages.  

I would also like to continue our marketing and advertising.   In the last year we have developed and produced a recruiting poster.  We hired Franko Design to upgrade our logo and our brand (unveiling coming soon).  We have also mailed out our newly designed brochures to all South Bend Schools students in grades 2-4.  This amounted to over 4000+ brochures in families hands during the Olympic games.  We also have thousands of more brochures ready to distribute to all the parochial and private schools this fall.

If we are able to raise funds like we have in past seasons I would also like to continue our relationship with our sports psychology professional. Ava Blennerhassett.  We were fortunate this season to work with Ava at no cost.  But as she moves forward with her practice compensation will be required to be able to maintain the amount of time she spent with us.

Weekly Announcements for Week of 9/4-9/10

Dear SBSC families,

Practice Schedule
Group 1: Tuesday and Thursday 6:00-7:00RHS
G1 Elite: Wednesday 5:30-7:00 RHS
Group 2: Tuesday, Wednesday, Thursday 5:30-7:00, and Friday 5:00-6:30 RHS
Group 3: Tuesday, Wednesday, Thursday 3:30-5:00, and Friday 5:00-6:30 RHS

Practice notes: Group 3's Friday's practice will be from 5:00-6:30.  We are moving it to a later time because I will not be able to attend practice on Friday due to the RHS Swim Team's Port-A-Pit Fundraiser.  If your G3 swimmer is also and RHS swimmer they will be excused from practice on Friday and will be expected to be at the Port-A-Pit

RHS Port-A-Pit Fundraiser
If you have not done so already please consider helping with our fundraiser by purchasing a ticket from a RHS swimmer.  The high school fundraisers go to help with purchasing equipment for the high school team that is also used by our club team.  The cost of the chicken is $6.50.  We are also selling the pit-tatoes as well.  We are not pre-selling those but they can be purchased on site for $3.50.  We will be selling at the Advance Auto store on Ireland Road.  We are planning on starting to sell at lunch time though 5:30

RHS Homecoming September 23rd

We have been asked to add a float to RHS Homecoming Parade. The game is vs. New Prairie High School and will be held at Jackson Field on Friday September 23rd.  Brett and Aiden Mauer have made some preliminary plans but we want to gauge the interest of our members before planning too much in advance.  The parade route typically starts in the RHS Parking lot around 4:30-5:00.  An exact time or route has not been made available.  The club will cover the cost to the game of any of our swimmers or parents who participate in the parade and would like to stay for the game.  If you are interested please email me by the end of the week.

Riverfront Parks & Trails Community Forum
I have been asked by Amy Roush, our Parks and Rec liaison, to share this with our membership.  I have also attached the flyer.

The City of South Bend has begun the process of re-imagining our Riverfront Parks & Trails, which run from Darden Rd. to Logan St. Working with consultant Smith Group JJR, an integrated architecture, engineering, and planning firm, the City’s goal is to develop a vision that enhances our riverfront, taking full advantage of its environmental, recreational, and economic potential. The resulting plan will serve as a guide for making investment, use, and design decisions within the park system.

 

You’re invited to the first in a series of community meetings to gather input on the future of our Riverfront Parks & Trails. Please join us:

 

 

Riverfront Parks & Trails Community Forum

Thursday, September 8th

Century Center, Recital Hall

(120 S. St. Joseph Street, Downtown South Bend)

 

 

Parking will be available, free of charge, in the Century Center parking lot. Please share meeting information with others that have an interest in the future of our Riverfront Parks & Trails. Please contact Eva Ennis with any questions.


Fall and Winter Season
Please remember all families must register their swimmers prior to starting practice. If you haven't registered yet, you can click here to go directly to our registration page.    Also, please remember you will be registering for the fall/winter and the spring/summer seasons.

New Families
You should have received a system generated email that confirmed your registration to the team.  If you did not receive one please email me.  The email also included instructions how to log into your SBSC account. There will also be a parent meeting sometime in September with a break-out session for all new families.  Details on the date will be finalized after we get approval for the use of one of the computer labs at RHS

Swim-A-Thon Saturday October 22nd
We will also be hosting our 4th annual Swim-A-Thon on Saturday October 22nd.  One of the things I take pride in our club is that we are able to provide a quality program at very little cost to our members.  In fact our training fees have remained the same as they were when we started in 2006.  The downside to our reasonable fees is that our coaches have not received a raise in several years.  I would like to use a significant portion of the proceeds raised this season to go directly to increasing our assistant coaches wages.  

I would also like to continue our marketing and advertising.   In the last year we have developed and produced a recruiting poster.  We hired Franko Design to upgrade our logo and our brand (unveiling coming soon).  We have also mailed out our newly designed brochures to all South Bend Schools students in grades 2-4.  This amounted to over 4000+ brochures in families hands during the Olympic games.  We also have thousands of more brochures ready to distribute to all the parochial and private schools this fall.

If we are able to raise funds like we have in past seasons I would also like to continue our relationship with our sports psychology professional. Ava Blennerhassett.  We were fortunate this season to work with Ava at no cost.  But as she moves forward with her practice compensation will be required to be able to maintain the amount of time she spent with us.

So are three goals for this year's Swim-A-Thon: 
1. Reward our assistant coaches with higher wages 
2. Continue moving forward marketing our club 
3. Maintain our working relationship with a sports psychology professional

New Prairie Satellite
Families who plan on being part of the NP satellite are welcome to attend practices at Riley in the September or they can wait until October 3rd to begin.  If I have not contacted you about your preference to when you would like to start please email me with your intentions

Upcoming Meet & Dates/location/deadline to opt out
The dates to opt out are tentative for most of these meets and will most likely change when the meet information becomes available.  As a reminder all swimmers are considered swimming in a meet unless the parent declines attending.  I'm also asking if you know your swimmer will be attending please commit them to the meet.  If the option to choose days is not yet available please leave a note as to which days you would like to attend
